Starting an online shop as a small business means building a functioning business with limited resources, a lot of initiative, and genuine passion. That's exactly what we did at Crystal Paradise. In this article, we share our own experiences, detailing the steps we took in the first few weeks – from registering our business to shipping our first order. This report is for anyone who wants to set up their own shop for crystals, minerals, or similar niche products and wants to know what to expect.

What does "small business online shop" even mean?

Under Section 19 of the German Value Added Tax Act (UStG), a small business is exempt from VAT. The condition is that the annual turnover is under 22,000 Euros in the previous year and is expected to be under 50,000 Euros in the current year. That sounds simple – but it isn't always. Even a small business needs a solid organizational structure, clear processes, and a feel for its target audience. Working diligently from the start saves a lot of time and nerves later on.

We built our shop for minerals and crystals with true dedication – and learned more than any guide could promise.

The first administrative steps: What you should know

Before the first stone could be sold, bureaucratic tasks were ahead. From our own experience, we know that this phase is often underestimated. Here's what we accomplished in the first 4 weeks:

  • Business registration: Mandatory for anyone who sells regularly and with the intention of making a profit. In Germany, registration costs between 15 and 65 Euros, depending on the municipality.
  • Approval for secondary employment: If you're starting a business alongside your main job, you often need your employer's consent. We obtained this in writing – important for legal certainty.
  • Engage a tax advisor: We recommend consulting a tax advisor at the latest after business registration. Bookkeeping, VAT, and annual financial statements are complex.
  • Check insurance: Business liability insurance, goods in transit insurance, and possibly legal expenses insurance should be reviewed.
  • Set up platforms: Within 2 weeks, we simultaneously set up our Shopify shop, an Etsy shop, an eBay shop, as well as Instagram and Facebook profiles.

Setting up 5 sales channels simultaneously was particularly intense. But it paid off: More reach means more potential customers from the start.

Building a supplier base: Purchasing from Germany and abroad

A crystal shop needs good sources. We searched for and found suppliers in Germany and abroad. Initial orders came from countries like India, Brazil, and Pakistan. If you buy internationally, you need to familiarize yourself with customs procedures.

What to consider when buying internationally

For imports from non-EU countries, import duties apply for goods worth 150 Euros or more. In addition, there is import VAT. When importing raw mineral goods from India – for example, Hematite-Stilbite from India – customs tariff numbers must be correctly specified. An error here can lead to delays or additional payments.

Our most important learnings from the first orders:

  1. Always request a commercial invoice and packing list – in English.
  2. Research customs tariff numbers in advance (e.g., via the German customs portal).
  3. Plan realistic shipping times from Asia or South America: 4 to 6 weeks is normal.
  4. Keep initial orders small to check quality and delivery reliability.

Our home warehouse: Creative solutions for the small business online shop

As a small business online shop, you rarely start with a professional warehouse. Neither did we. Instead, we cleverly utilized existing resources – and achieved surprisingly good results.

Goods receipt and packing table: The billiard room as a logistics center

Our billiard room was quickly converted into a small logistics center. The billiard table – with a playing surface of about 2.5 × 1.4 meters – now serves as a workspace for goods receipt and simultaneously as a packing table for outgoing orders. A multi-purpose use that works perfectly.

We placed a compact photo studio on the table. This allows us to professionally photograph each stone before it goes on the shelf. Good product photos are essential for an online shop – they decide whether a customer buys or clicks away.

Systematic storage: IKEA and rolling shelves

For storage, we repurposed old IKEA cabinets from my daughter's room. These were supplemented by additional rolling shelves. The result: clear storage in the smallest space. We also allocated separate areas for packaging material and accessories.

A detail that is particularly important to us: We recycle the packaging material from incoming goods. Incoming boxes, cushioning material, and fillers are reused directly for outgoing packages. This reduces packaging waste to almost zero – sustainable and cost-effective at the same time.

Practical tips for your start as a small business in e-commerce

After our first few weeks, we've gathered some insights that we'd like to share:

  • Start with what you have. A home warehouse is not a disadvantage – it keeps fixed costs low.
  • Focus on multiple sales channels. Etsy, eBay, your own shop, and social media complement each other perfectly.
  • Invest in good product photos. A mini photo studio for under 50 Euros is sufficient for a start.
  • Get professional help with taxes and legal matters. The cost of a tax advisor is worth it.
  • Think sustainably from the start. Recycled packaging material saves money and strengthens your brand image.
  • Plan buffers for delivery times. Especially with international suppliers, you should allow 6 to 8 weeks lead time.
